Minutes - not sent from the last meeting because Jim forgot to send them.  Shame on Jim.

Presidents Report - Still trying to nail down VP and Secretary positions

Treasurers report – not available - we know that MAP is very solvent (approx. $17k)

Sponsors - 9 for the annual meeting.  A new record!

Newsletter – Maureen reporting

·        Rebecca Shaffner is the new editor

·        Have a 24 page draft in hand

·        A lot of material from SPO

·        Cover sheet features the Tax Cap Proposal and Grow Smart Conference

·        Going out in next 4 or 5 days.

·        Going to 59 current members and approximately 40 recently delinquent members.

·        Several delinquent members are very active in MAP.

·        Sponsors will get a newsletter.

·        Writers get a newsletter.

 

Next newsletter deadline is November 12th, publication on December 3rd.

·                    Awards - nominations announcement

·                    Newsletter sponsors - business cards - $25 per issue

·                    Grow Smart -Jim Fisher

 

Jim moves that MAP permit business card newsletter sponsorship at $25 per issue. Dave seconds, passes with one abstention.

 

Grow Smart Maine - Augusta, Dec. 10th, Civic Center

·                    MAP Session - Health and the Built Environment - 1:15 PM  December 10th, 2004

·                    Convener – Jim offered to do this

·                    Beth and Hughe will work with GrowSmart Maine to figure out what they want before Jim does anything.

·                    Logistics - Contact Lisa Fahay at Grow Smart Maine

·                    Possible Speakers

- Dora Ann Mills, Bureau of Health

- Ann Lusk, Harvard University - original research on the project (worked on the Stowe, VT trail) - Jim will need to contact Ann about cost and availability (will contact her on Monday after hearing from Beth)

- Healthy Maine Partnerships – Christine Lyman, et al.

- MAP member doing health related work

 

Contribution to Grow Smart Maine - we discussed $1,000

·                    Would our speaker expenses come out of this?

·                    Beth suggests that we contact GSM to find out what they are expecting by way of support. Did Beth volunteer to find this out?

·                    MAP can have a display?  Maureen votes no. Hughe Votes No. Jim would like to have some brochures on a table.  Not much energy here.

 

Membership

·                    After discussing difficulties with the mailing list, the board has opted to change the return address on registrations to be directed to Matt Nazar’s home address.  After updating the membership list he will send the check on to Fred Marshall for deposit.

·                    People would like to have some acknowledgement of having renewed their membership.  Matt will send a pre-formatted postcard thanking members for their renewal (and stating the period for which they have renewed.)

·                    People who join mid-year - get the balance of the year.  There is no prorating.

·                    Matt - planning to send out a separate letter for late and prior year members.  

·                    Matt will send a letter to the list serve about renewals, Noel will sign them.

·                    Jim needs to have an updated list in order to update the web site.

·                    The list in the newsletter is the most current list - but even this may be missing some names.

·                    Jim - would like to have some extra copies of the newsletter for people who did not get them but should have. Would also like a PDF version.  These ideas did not carry in the end, though Maureen will see whether a PDF format file can be created by the student-editor.

·                    Beth - we need to work on membership recruitment - particularly retention.  Beth is willing to organize a retention program.

 

Membership directory - Matt can start on doing this.  We might target this for next June.  Would be helpful to get more people to join in order to be in the directory.

 

Web - no big changes, jobs and rfp’s come and go.  Addresses change.  Need a new cover picture.

 

Awards Committee

Ann Krieg may be willing to do this.  We think she just had a baby, so may not be available to send out the newsletter announcement in November..

Dave may be willing to help on awards or work with Ann. 

Maureen can help with the announcement in the next newsletter

 

NNECAPA

Hughe recommends that we hold the NNECAPA meeting next September in Bar Harbor.

Jean -need to be cautious about conflicts with Cruise Ships - conflicts with tourism

Maureen - the Maine director - Tad Redway - is a co-chair with a MAP member.  The person on site should not be the co-chair.

 

Host Committee - Jean, Jim, Ann

·          By end of year - recommendation for place, date

·          Avoid Rosh Hashanah

 

NNECAPA Representatives

·          Bob Hamblen

·          Donna Larson (VP)

·          Carl Epic

·          Tad Redway

 

ACTION ITEMS:

·        Noel will call Tad Redway for Planning

·        Jim will find out about Atlantic Oaks and Rosh Hashana, etc.

 

Map Annual Meeting

Whether to combine MAP annual meeting and NNECAPA?

·          prefer to combine them

·          might have a half day social gathering for election of the board.

·          Sea Dogs game or Bangor Lumberjacks

·          Pre-game Picnic

·          Rich Roedner will work on organizing this event – Rich found several possible dates (one at noon, the others in the evening). Cost is $22 per person and includes lunch.  The board is supportive, though at this moment there is ongoing discussion about the date and time.

 

Other issues

Need to fill the position of VP and Secretary - Beth might be willing to be VP.  Beth needs a month to think about this.

Maureen will add email addresses of board or exec committee to the newsletter.

 

Jim-Legislative Committee

Beth - VP is supposed to work on legislation

Matt – we should look at the Orlando and Merrill article in the Maine Law Review – suggesting major changes to the growth management act.
